Position Title: Virtual Assistant

Position Status: Part-Time, Temporary

About Dark Sky Colorado

We are the only statewide nonprofit organization based in Colorado devoted entirely to restoring the nighttime environment and protecting communities and wildlife from light pollution.

DarkSky Colorado is a chapter of DarkSky International and we work toward a time when natural darkness at night is protected worldwide as essential for people and nature.

JOB SUMMARY

The virtual assistant provides administration support for the Dark Sky Colorado organization to help advance the mission, goals and regular tasks for the organization.

SUPERVISORY RESPONSIBLITIES

Works under the direct supervision of the Dark Sky Board of Directors. This position will work closely with the Board Chair and Admin and Certification Specialist.

ESSENTIAL JOB FUNCTIONS/DUTIES

The incumbent in this position must be able to successfully perform the following essential job functions and duties:

Administrative

  • Draft and update board meeting documents internally and on the website
  • Documentation and record keeping (e.g., meeting minutes)
  • Assist with email; respond directly to straightforward inquiries
  • Assist donor outreach and reengagement to strengthen financial sustainability
  • Assist with Colorado Tourism Office compliance paperwork
  • Help identify relevant speaking opportunities
  • Make recommendations to improve administrative and procedural processes (e.g., setting up password manager and anonymized, unhackable passwords); implement as directed
  • General administrative work (e.g. formatting and printing labels for donor thank-you mailers, ordering/reordering marketing collateral such as fliers, as-needed editing)
  • Bookkeeping: Manage Quickbooks, create reports, manage budget
  • Assist with annual Board Retreat logistics.

Outreach

  • Support outreach efforts: monthly newsletter (MailChimp)
  • Support email blasts and drip campaigns for special events and fundraising: formatting, editing, scheduling, and potentially automating
  • Support content creation and distribution; (e.g. Canva templates)
  • Assist with seeking grant funding opportunities
  • Assist development and outreach committees with various fundraising and marketing efforts
  • Edit and publish blog in WordPress
  • Set up accounts and use marketing technology tools (CrazyEgg, MailChimp, etc.) to optimize marketing and fundraising efforts

OTHER DUTIES AND RESPONSIBILITIES:

Performs other work as assigned, and may be involved in special projects

REQUIRED SKILLS / ABILITIES

  • Able to adapt to organizational and technological change, identify problems and implement innovative change.
  • Ability to communicate effectively in verbal and written format to clearly convey information, listen, positively engage with others in a professional manner and timely basis.
  • MailChimp, Canva, website knowledge (for updates), WordPress

EDUCATION & EXPERIENCE

  • High School Diploma
  • Associates or Bachelors Degree (preferred)
  • Knowledge of dark skies and light pollution (highly desired or ability to learn)

Job Types: Part-time, Temporary

Pay: $25.00 – $45.00 per hour

Expected hours: 5 – 15 per week

Work Location: Remote
