Responsibilities

  • Manage calendar scheduling, appointment setting, and coordinate meetings using tools like Google Workspace and Microsoft Office.
  • Handle incoming calls through multi-line phone systems with professionalism, practicing excellent phone etiquette and providing outstanding customer service.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records.
  • Support office management tasks such as organizing files, maintaining office supplies inventory, and overseeing general administrative duties.
  • Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and financial records.
  • Provide front desk support virtually by greeting clients via email or chat, managing inquiries, and directing calls or messages appropriately.
  • Support personal assistant duties including calendar management, travel arrangements, and task prioritization to optimize executive productivity.
  • Maintain organized digital files and ensure data security while managing confidential information discreetly.
  • Contribute to customer support efforts by responding promptly to inquiries, resolving issues efficiently, and ensuring client satisfaction.
  • Assist with clerical tasks such as proofreading correspondence, preparing reports, and managing email communications.
  • Support project coordination by tracking deadlines, following up on pending tasks, and ensuring timely completion of assignments.

Qualifications

  • Proven experience in office management or administrative roles with a strong background in clerical work and customer service.
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools.
  • Familiarity with QuickBooks for bookkeeping tasks is highly desirable.

  • Exceptional typing speed and accuracy for efficient data entry and document preparation.
  • Bilingual abilities are a plus to communicate effectively with diverse clients or team members.
  • Experience working as a virtual assistant or personal assistant is preferred; familiarity with medical or dental receptionist duties is advantageous.
  • Knowledge of multi-line phone systems, office equipment operation, and phone etiquette standards.
  • Excellent proofreading skills to ensure error-free documents and correspondence.
